Group Visit Guidelines and Information

Our patients and families are so grateful for the wonderful community at Levine Children’s Hospital. Days in the hospital can feel long, but your support – whether through hosting events, activities or performances – helps lift spirits and bring smiles to our patients’ faces. If you’re interested in hosting a program in the hospital lobby, please review the information below.

How to schedule a group visit to Levine Children’s Hospital

If you’d like to host a program, please submit a request by completing the Event Request Form.

Due to the children's medical and activity calendar, events are typically scheduled in the afternoon between 1 and 4 p.m. We ask that your group arrives 30 minutes early to check in at Guest Services, review visitor guidelines and set up for your program.

Our activity calendar fills up quickly, so please submit your request at least 30 days before your preferred visit date and time.

Planning your event or performance

All event scheduling must go through the Levine Children’s Hospital Event Coordinator’s office (patientexperiencelch@atriumhealth.org, 704-381-3257 ). 

Group size and age requirements

Groups can have up to 10 people. All group participants must be 16 years or older.

Event location

Events take place in the lobby of Levine Children’s Hospital. As you plan your visit, please bring all necessary items to ensure a smooth and successful event.

Crafts, gifts and handouts

All crafts, gifts and handouts must be coordinated through the Event Coordinator’s office (patientexperiencelch@atriumhealth.org, 704-381-3257). Because the number of patients changes daily, it’s hard to predict how many will attend. To accommodate as many as possible while respecting budgets, we suggest 50 items, if possible. 

Supply Guidelines

When choosing items for your event, please follow these guidelines: 

• No latex items
• All gifts and handouts must be brand new for infection prevention. 
• Age range: Patients range from newborns to young adults (0-21+ years old). 
• Recommended items: Small stuffed animals, coloring books and crayons, books or other activities children can do safely in their rooms.
• Levine Children’s Hospital serves children of all faiths. Please do not distribute religious messages or materials. 

Preparing for your visit 

To help keep everyone safe, please make sure your group follows these guidelines: 

• Dress code: Wear business casual attire and closed-toe shoes (no flip flops or sandals). 
• Stay home if you’re sick: If anyone in your group is feeling unwell – such as having a scratchy throat, cold or fever – please ask them to stay home. This helps protect our patients. We can always reschedule the event!
• Upon arrival: A staff member or qualified volunteer will meet your group in the hospital’s main lobby. They will go over important guidelines for your visit, so please arrive on time.

We invite all eligible patients to group activities, but attendance varies. You may see 1 patient or 15, but please know that you make a difference just by being here.

Photograph policy

• You may take photos of your group inside the hospital. 
• Patient photos require written permission. However, we generally discourage patient photography to respect their privacy. 
• If you wish to take any photos, please coordinate with the staff member escorting your group.

Creating a safe and inclusive experience

• Supporting all patients: Due to infection control measures, some children will not be able to attend group activities. However, you’re welcome to share a gift or craft for staff and family to share with them in their room.
• Returning visitors: If your group plans to visit more than once, members will need to complete the volunteer application and orientation through Levine Children’s Hospital’s Volunteer Services Department.
